Event Coordinator

Job Description

SUMMARY:

This role is intended to provide support to the Events and Recognition Department at Immunotec US/CA Corporate. The Event and Recognition coordinator will work in an extremely fast paced, highly time sensitive environment. Coordinator will assist with implementation of all corporate events and field facing recognition programs. Must have a passion for best in class events and a natural drive to excel. Reports to the Director of Events Experience and Recognition.

RESPONSIBILITIES:

  • Acts as liaison between various Immunotec internal departments, outside vendors and Immunotec field
  • Assists in the Coordination of planning all Corporate events and Recognition programs
  • Pro-active approach to event efficiency methods to ensure best practice execution. On-site support at Corporate events
  • Packing, Shipping of all Event and Recognition items as needed
  • Coordination of monthly recognition achievement spreadsheets/information. Ensuring all data is 100% accurate and updated
  • Invoice reconciliation, expense report creation and processing, promotional item sourcing, on-site activities, off-site dinner locations, transportation manifests, décor options, av needs, rooming lists and billing requirements
  • Maintain and update master Corporate Event Calendar
  • Coordination of communication schedule, timelines and resources needed
  • Travel coordination for department and field VIP’s as needed
  • Creation and on-going updating of department Smartsheets
  • Event Software website coordination-website creation, management, database updates and recap surveys
  • Additional tasks to include: Temporary office administration, supplies, front desk/reception coverage

REQUIREMENTS:

  • Natural love for events and recognition programs
  • Highly organized, deadline driven, ability to multi-task, can do attitude
  • Extremely detail orientated a must, professional demeanor
  • Social Media event/promotional campaign experience helpful
  • Experience using Event Software/database maintenance
  • Strong interpersonal and communication skills in both English and Spanish
  • Understanding of MLM business model
  • Ability to travel, as required-Bi-Monthly minimum. Long hours during events. Valid passport helpful
  • Proven track record to consistently deliver assignments on time and on budget

COMPUTER SKILLS:

  • Excellent knowledge of Word, Excel, PowerPoint and Outlook
  • Ability to create spreadsheets in Smartsheet
  • Adobe systems, helpful but not a must
  • Event Management Software experience helpful
  • Social Media usage/familiarity for brand expansion
