Event Producer - Special Events Industry

A great event solution starts with great strategy and great design. But then we need to translate all that fluffy stuff into reality. That's where our Event Producers step in, answering the question, "How are we going to do that?" You'll have responsibility for coordinating project details between teammates, vendors and clients, keeping projects on-time, on-scope and on-budget. The eal teammate must have 3+ years' experience in the live event production and special events industry, strong organizational and communication skills, and possess mastery of Microsoft Office Suite.

Role Description


SUMMARY:

Reporting to the Lead Producer, the Event Producer works with fellow employees and vendors to develop and deliver complete projects. Key accountabilities include serving as the primary client contact, keeping projects on scope/time/budget, initiating coordination of project details and managing external resources.

DUTIES AND RESPONSIBILITIES including but not limited to:

Manages all aspects of projects and events assigned, including any combination of the following:

  • Develops comprehensive proposals, contracts and accurate budgets
  • Serves as the main client contact during all phases, discovery through results
  • Manages project workflow from sales to execution
  • Identifies, negotiates and secures internal and external resources
  • Manages multiple programs simultaneously
  • Crafts timely communications with clear intent and understanding
  • Tracks and maintains project budgets, schedules, chargeable hours and deliverables
  • Secures projects files and reconciles projects
  • Demonstrates a deep understanding of each client's brand, culture and business objectives
  • Develops meaningful relationships with VP and C-level contacts
  • Upchannels sales opportunities with existing clients to Executive Producer or sales team
  • Assists in the development of communication strategies for clients
  • Attends client meetings well-prepared and organized
  • Takes detailed notes during meetings and cascades action items to project team
  • Works closely with sales to establish, manage and maintain client satisfaction and relationships
  • Manages scope creep and prepare/execute adjustments to scope
  • Timely completes reconciliation of all projects
  • Collaborates with internal staff and external resources to accomplish client objectives
  • Assists in creating, refining and/or implementing new production processes
  • Completes approved training and attend approved industry events
  • Upholds and conducts business with high level of integrity
  • Updates job knowledge by seeking out educational opportunities, reading professional and business publications, maintaining personal networking, and participating in professional and civic organizations

MINIMUM JOB REQUIREMENTS:

  • 3+ years meeting and/or live event planning experience required
  • Bachelor's degree in Meetings, Events, Marketing, Business or related industry preferred
  • PMP, CTS, CSEP, CMP, CMM or other applicable designation preferred
  • Excellent verbal and documented written communication skills
  • Multi-tasking skills
  • Complex problem solving ability
  • Ability to lift 25lbs
  • Ability to stand for long periods of time
  • Ability to travel required - maximum 33%
  • Willingness to work evenings and weekends, as required

KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:

  • Knowledge of project management principles, practices, techniques, and tools
  • Ability to read, understand, follow, and enforce office procedures
  • Ability to analyze and interpret financial data and prepare financial reports, statements and/or projections
  • Ability to gather data, compile information, and prepare reports
  • Coordinate tasks, information and timelines with internal and external resources
  • Skilled in the use of computers, preferably in a Mac, OS-based operating environment including Outlook, Numbers/Excel, Pages/Word and Keynote/PowerPoint
