Meeting Operations Manager

Trade association seeks a highly organized and motivated Operations Manager to focus on the organization’s annual conference held in New York City.  The Operations Manager will assume the responsibility for activities required during the planning stage, as well day-to-day tactical aspects, for the association’s annual conference.  

Responsibilities will include:

  • Contract development and oversight with 7 hotels (large, mid-size & small)
  • Yearly hotel contract negotiations and interaction with general counsel to ensure the association’s protection
  • Relationship management with hoteliers
  • Understanding of hotel requirements, union rules and facility safety
  • Management of pre-planning procedures and time-line targets
  • Oversight of one-on-one meeting placement and contracts for association members
  • Oversight of one-off events for association members
  • Onsite daily management and management of staff responsibilities
  • Onsite management of temporary staff
  • Food, beverage and AV management for programs and events 
  • Final invoice review and approvals of expenses 
  • Resolution of any issues related to invoicing 
  • Manage the activities of 2-3 additional meetings staff
  • Assist with planning and execution of 3-4 small 1-day events outside of the annual conference

  

The successful candidate will:

  • Be a highly motivated individual that can work independently or with others, be able to prioritize and meet deadlines
  • Have an understanding and knowledge of industry standards and liability issues, ability to effectively negotiate contract terms, and ability to troubleshoot problem areas.
  • Have 5 to 7+ years of meetings operations management with an emphasis on hotel contract negotiations and hotel relationship management
  • Excellent communications skills, both written and verbal, in order to effectively interact with all levels of association management, vendors and volunteers
  • Able to identify trouble areas and make recommendations and or changes
  • Be proficient in MS Office Suite and experience with databases, internet and file management
  • Be able to commit to an occasional early morning or later evening, possess a valid passport and travel internationally. 

 

Salary Open/Benefits:
