PURPOSE OF POSITION: Responsible for developing and managing programs that meet client objectives, overseeing staff from program inception to completion to ensure flawless execution, monitoring cost controls and keeping within client budget. Responsible for developing and maintaining positive and productive client relationships.
ESSENTIAL FUNCTIONS AND RESPONSIBILITIES:
Pre-award/initial activities: Is knowledgeable in all MeetingAdvice offerings and services and can promote these to client while explaining benefits and value added. Provides project and program ection with multi-tasking responsibilities including: goal and agenda and development to meet client objectives; presentation of creative alternatives; program timelines and changes throughout; coordinates SOW, contracts and other paperwork including change documents throughout life of event.
Pre-event activities: Develops program budget; monitors throughout program and communicates changes to team and client. Oversees sourcing and contracting of various components: Site ion, A/V, Food and Beverage, Room Gifts, etc. Works with outside vendors/providers to products and services that meet the client's expectations in , quality and price; negotiates terms to achieve best possible price/value scenario; reviews contracts to protect both client and MA.
On-Site activities: Oversees activities of all staff including MA team members, vendors and contracted help. Coordinates rehearsals, load-in, décor set up, etc. Ensures registration activities run smoothly and run of show time schedule is maintained. Manages unanticipated issues as they arise. Ensures the complete satisfaction of client.
Post-event activities: prepares financial analysis reports showing program profitability; gathers invoices and tracks information for final billing package; retains historical data.
Develops client relationships and new business opportunities within assigned accounts whenever possible: suggests opportunities to add value to client programs, builds and maintains client relationships, networks among clients to expand contact base and prospects.
Assists in the development of MA Coordinators by providing guidance on various tasks and feedback for performance evaluations.
Demonstrates superior communication, both orally and in writing with internal team members and external clients and vendors; is effective at conflict resolution and negotiation.
Demonstrates effective problem resolution, analytical thinking and ability to handle multiple priorities under pressure.
Demonstrates the ability to delegate tactfully and effectively.
Demonstrates the ability to utilize time effectively.
Demonstrates excellent computer skills including MS Office, Outlook, basic website development and other programs routinely used within MeetingAdvice.
EDUCATION AND EXPERIENCE
A four-year degree in related field preferred (hospitality/event management) plus five years experience in a similar event-related position managing corporate events. Significant destination and contracts knowledge is beneficial. A two-year degree and six years of experience or completion of an Events Management Certificate program and eight years of experience may be substituted.
