This specialist position supports events, workshops and forums and training courses registration processes for all offices. The Registration Specialist is also responsible for testing and implementation of any new functions in the internal registration software and may be required to work with third party vendors for registration.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
Train new users on the registration software in the test environment and introduce to all registration staff any new functions or changes in processes.
Manage event setup and testing in the registration software for North American and Latin American events, workshops and forums and training courses
Review event setup and testing in the registration software for global offices’ events, workshops and forums and training courses before event goes live on website.
Research, test and implement any new taxation requests, new functions or other special requests in the registration system
Test any updates required by IT for integrations, upgrades or other requests related to the registration software
Process and adjust any cancellations/transfers/refunds/chargebacks
Balance financials at the end of the event and work with Finance to ensure export to the financial software is correct.
Onsite support of event registration as required
Review marketing materials and update event manager as appropriate for Registration information
Process all registrations - includes s received by email, fax, and mail. This will also include requests for invoices and visa invitation letters.
Manage registration setup and testing events with third party registration vendors as required
Assist Registration Coordinators with technical, process or customer service questions as needed.
Assist Senior Registration Manager with updates on event progress and reporting
Maintain the EVA/Long Range Calendar
Assist the exhibits group with new company entry into Personify and the exhibits management application
Other duties as assigned.
EDUCATION and/or EXPERIENCE
Minimum 3-5 years related work experience. Bachelor’s degree required, or equivalent combination of education and experience. 1-2 years of association industry experience preferred.

Proficient in data management systems in Windows environment including MS Word, PowerPoint, Outlook and Excel
EBMS software knowledge required
Good communication skills (oral and written)
Ability to balance multiple projects
Ability to maintain a fast pace and meet scheduled deadlines
Ability to work independently
Excellent follow-through skills
Excellent client relationship skills
Background in oil and gas industry preferred
Volunteer and/or non-profit experience preferred
Willingness to work overtime, as required.
Ability to travel

About 25-30% travel
Spanish as a second uage would be preferred.
Ability to learn, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to compose reports, business correspondence, and online communications. Ability to effectively present information and respond to questions one-on-one or from groups of managers, clients, and customers. Ability to communicate effectively both orally and in writing. Bilingual skills are preferred.
Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra. Understanding of statistical concepts and their application in data analysis.
Ability to define problems, lect data, establish facts, and draw valid conclusions. Able to analyze complex data sets to gain insight from them, then present findings effectively in graphical to allow ease of understanding.
