Special Events Officer, Development

 

GENERAL SUMMARY: Reporting to the director of Events, the Special Events Officer is primarily responsible for supporting the overall strategy and development of all events related to fundraising for Newton-Wellesley Hospital. Specific responsibilities will be assigned by the director of Events, but will include direct management or support for large and small-scale events, and third-party events.  Program elements include volunteer recruitment, management and evaluation and strategic event planning and implementation.  Significant focus will be establishing collaborative working relationships with leagues in an effort to increase philanthropic support in the of event gifts and to help identify potential major gifts.  PRINCIPAL DUTIES AND ESSENTIAL FUNCTIONS:   

  • Support, develop, and implement the overall event program for Newton-Wellesley Hospital.
  • Ensure effective and compelling communications to our donor community and supporting special strategic projects as needed by the organization.
  • In partnership with other members of the Development Office, including volunteers and committee members, the person in this position will personally recruit and support volunteers and solicit traditional and in-kind donors.
  • Solicit corporate gifts by working in concert with other development staff to plan, coordinate and implement fundraising programs and strategies for corporate gifts.
  • Identifies new potential event donors by prospecting with current donors, volunteers, and other members of the community, and initiates research on potential prospects, as appropriate.
  • Provides personalized stewardship of event donors by writing acknowledgment letters, preparing progress reports, arranging gift recognition, maintaining personal contact if appropriate and facilitating relationships between donors and appropriate hospital staff, medical staff or volunteers.
  • Proactively provides an on-going analysis of fundraising progress for event efforts, and stays abreast of trends in non-profit fundraising to ensure that NWH is utilizing best practices.
  • Responsible for requesting and managing complex data requests needed to establish effective events
  • Develops relationships with and monitors performance of vendors for the production of mass communication solicitations, stewardship, and other communications to prospects.
  • Develop; implement and monitor best practice event programs on an ongoing basis and make recommendations to improve existing programs.
  • Participates as ad-hoc participant in major gift strategy meetings, for the purposes of sharing new donors acquired that could populate a major gift officer's portfolio.
  • Handle all aspects of event planning and execution for assigned events and/or serve as event support for the event lead by providing administrative and logistical tasks pre and post event.  Depending on the scope of the events, responsibilities may include: 
    • Coordinate, schedule and execute event planning meetings or take notes, as needed.
    • Prepare and manage budgets for each assigned event.
    • Manage all aspects of the invitation process.
    • Handle all internal processes from data entry, to requesting and tracking lateral, catering and audiovisual orders.
    • Work with marketing team to create signage, information cards and name tags.
    • Prepare and deliver preparation materials.
    • Facilitate post-event follow up and thank you' s
    • Coordinate Serve as a liaison with vendors and event planning companies
  • Assist onsite at various events, as needed.
  • Manage a range of shorter and longer term event related projects.
  • Other duties as assigned

   Qualifications JOB REQUIREMENTS:  

  • Bachelor's degree, or equivalent experience
  • Minimum 3 years' experience with demonstrated success and effectiveness in event management.
  • Demonstrated ability to handle multiple, complex fundraising activities simultaneously and coordinate strategies.
  • Ability to plan and implement a fundraising plan.
  • Strategic thinker with the ability to translate concepts, stories, and areas into accurate, practical, and tactical actions
  • Ability to support, build and lead or participate on a team
  • Advanced interpersonal, problem-solving, and analytical skills
  • Accomplished communicator
  • Ability to effectively troubleshoot and resolve issues. 
  • Ability to work independently and collaboratively with leagues, volunteers, donors and hospital staff.
  • Must be able to work some nights and weekends and have the ability to travel locally
  • Must be collaborative, flexible, conscientious, and results-oriented.
  • Demonstrates self-awareness, professionalism, a strong work ethic and the ability to handle difficult situations with grace and a sense of humor.
